Supporting Productivity Improvements at Yamaguchi Bank, Kitakyushu Bank, And Momiji Bank by Combining Generative AI with Proprietary AI

ExaWizards Inc. (Minato-ku, Tokyo, Representative Director & President: Makoto Haruta, hereinafter ExaWizards) is providing a combined generative/proprietary AI system that automatically generates draft meeting records from audio to corporate sales representatives at Yamaguchi Bank, Kitakyushu Bank, and Momiji Bank of the Yamaguchi Financial Group (hereinafter referred Yamaguchi Financial Group). Yamaguchi Financial Group will start using this system in May 2024, anticipating significant improvements to their record-keeping and their understanding of customer needs.

The system is part of ExaWizards’ “exaBase Studio” AI software development environment, which is planned for expansion to other client companies.

ExaWizards aims to solve social issues by providing services and products that improve corporate productivity and value through the utilization of AI.

☑︎Background of the Interview Audio Summary AI
Corporate sales representatives at financial institutions must understand their customers’ needs to make effective proposals. ExaWizards has collaborated with Yamaguchi Financial Group since 2023 to conduct a proof-of-concept (PoC) of an AI system that automatically creates drafts of meeting records from interview audio. The system has significantly reduced the time corporate sales representatives spend creating customer meeting records, allowing them to devote more time to customer service and creating proposals. The AI also generates complete and accurate meeting records, as opposed to  manual transcriptions that can sometimes lose vital information.

☑︎Features
This system combines generative AI with AI technology developed by ExaWizards to  process information extracted from interview audio. ExaWizards’ experience in handling personal and other sensitive information from financial institutions has also been incorporated into this proprietary AI. The system has the following three features:

(1) Precise Information Extraction
ExaWizards’ proprietary natural language processing (NLP) model can divide the entire text into parts with similar meanings. This process addresses both the character limit in subsequent summary AI or GPT processes and improves the readability to corporate sales representatives. The trained proprietary NLP model also extracts key points from large volumes of text and summary pairs, allowing for faithful text extraction and a focused summarization and compression of important matters.

(2) Appropriate Management of Personal and Sensitive Information
This AI automatically detects personal and sensitive information contained in interview audio and masks it when generating meeting records.

(3) Optimizes Generative AI Usage Costs
The proprietary NLP model extracts important sentences before entering the transcription text into generative AI. This lowers generative AI usage fees by reducing the amount of data that the generative AI needs to process.

☑︎Response To The PoC from Yamaguchi Financial Group
The Yamaguchi Financial Group has provided the following feedback concerning the PoC, and they expect it to contribute to the overall productivity of the organization:
The AI’s output is divided by chronology and theme, making it easy to read. This is helpful when recalling and organizing the content discussed at client meetings.
This AI has sped up information-sharing between representatives and management.
The visibility of each person’s sales activities is beneficial for both general management and in deepening our understanding of our customers.

☑︎Future Developments
Corporate sales representatives will start using this AI in May 2024. More functions will be added in the future, such as the ability to analyze and visualize customer needs, allowing for deeper customer understanding and better proposals. Another function will monitor whether sales representatives are conducting customer-centric sales, which will improve sales quality.

exaBase Studio implements this AI environment as reusable components, and ExaWizards plans to deploy it to a wide range of client companies. A patent application has been filed for a series of technologies that divides meeting transcription data into topics, extracts important sentences for each topic, and generates the final meeting records.
